This notice covers enquiries through kilsythpersonaltrainers.com and correspondence with Kilsyth Personal Trainers. It explains what reaches us when you get in touch and how to raise a question about that information.
Start with the details needed for a reply
A training enquiry normally includes your name and email address. The appointment forms also request a phone number. On the contact page you can add your suburb, the type of training that interests you and a message. We use those details to understand your request, contact you and discuss possible next steps.
Some introductory-session forms ask whether you want to lose five or more kilos. If you would rather not answer that question, use the general contact page or email us. Please keep medical reports, diagnoses and detailed health histories out of website messages. Any information needed for exercise screening can be discussed through an appropriate private process with the provider.
Who may need to handle an enquiry
The people responding to your request need access to the details you provide. When a trainer is asked to respond, relevant enquiry information may be passed to that trainer. Providers supporting email delivery, website hosting, security and enquiry administration may also process information to perform those tasks.
The purpose of sending a training enquiry is to receive a response about training. It is not a request to join an unrelated advertising list. We do not sell the contact information you submit. If a further use needs your permission, that permission should be sought separately.
What happens when a form is submitted
Alongside the fields you complete, the forms send the originating page address and a submission reference that helps identify repeat submissions. Spam prevention includes a hidden form field and may include Cloudflare Turnstile when enabled. Infrastructure providers may record connection details such as IP addresses, browser information and request times for delivery and security.
Following an external profile link takes you to another organisation's service. Its own privacy arrangements then apply. Embedded third-party content, if enabled, may also create a connection to its provider when loaded.
Storage, service providers and record keeping
Enquiry records may be held in the systems used to manage correspondence and website submissions. Some providers operate internationally, so processing may occur outside Australia. Email us if you need information about the providers or locations involved in handling your particular enquiry.
Records are kept for the period reasonably needed to manage the enquiry, associated administration and any applicable legal requirements. Information that is no longer required should be removed or de-identified where practicable; backup copies can follow a separate retention cycle. Reasonable security measures are used, but sending information online cannot be made entirely risk-free.
Ask to see, change or remove your details
Write to mail@kilsythpersonaltrainers.com to request access, a correction or deletion. Include enough information to identify the enquiry, without sending unnecessary identity documents. We may need to establish that you are the person concerned before releasing or changing records.
If a request cannot be completed in full, we will explain the reason where permitted. Deletion may be limited where a record is still needed for a legal obligation or an unresolved matter.
Raise a privacy concern
Use the same email address to describe what happened and the response you are seeking. This gives us an opportunity to investigate. If the issue remains unresolved, information about privacy complaints and the matters the regulator can consider is available from the Office of the Australian Information Commissioner.
Changes to this notice will appear here with a new version date. A trainer or another service provider may give you a separate privacy notice for information collected directly by them.
